Frequently asked questions

How does the scheduler decide who gets which shift?

You define shifts (day, time, role, headcount) and each person’s hour-by-hour availability (yes / maybe / no) plus their weekly and daily hour limits. When you generate the week, autorota places people where they’re available and qualified, fills the hardest-to-cover shifts first, respects everyone’s hour limits, and spreads the workload fairly. The result is fully editable — treat it as a first draft.

What do yes / maybe / no mean in availability?

Yes hours are preferred, maybe hours are used when needed, no hours are never scheduled. Each person has a reusable weekly pattern, and you can add date-specific exceptions for one-off weeks (holidays, appointments, swapped days).

I edited the rota and want to go back. Can I?

Yes. Every change is saved automatically, and the Edit Log keeps a timeline of your rota’s history. Expand any entry to see exactly what changed, label versions worth keeping, and restore any earlier state in a tap.

How do I share the schedule with my team?

Export the week as PDF (weekly grid, by role, or individual schedules), or as CSV/JSON. Choose the staff version, or the manager version that includes costs, then send it with the standard share sheet.

How does sync between my iPhone and iPad work?

Through your own private iCloud. Turn on iCloud sync and your data moves between your devices via your Apple Account — no separate account, and no server of ours involved. Both devices need to be signed into the same Apple Account with iCloud enabled.

How do wages and currencies work?

Set an hourly wage per person, in that person’s own currency if your team is mixed. autorota shows weekly hours and labour costs with charts. Conversions between currencies use exchange rates fetched anonymously from the free Frankfurter service and cached on your device.

How do I back up or move my data?

Export your full setup (people, shifts, availability) as a data bundle from the app, and import it on another device or after a reinstall. Schedules themselves can also be exported as PDF/CSV/JSON.

The app says my database needs recovery. What do I do?

The app will offer to reset and start fresh. If you’d rather not lose anything, email fongo02@proton.me before resetting — use the “Email support” button on the recovery screen so the error details are included.

Does autorota need an account or internet connection?

No account, ever. The app works fully offline; internet is only used for optional iCloud sync and currency exchange rates.
